Coaches meeting minutes October 2008

Minutes from last meeting discussed  and agreed.

 

Current classes, and organisation

All coaches to continue to monitor the classes and the numbers in order to maintain class sizes in accordance with the amount of coaches.

2 more boys needed for Friday, possible 6 more for sat am but need to review after Christmas and after comp.

Kate has offered to run tumbling groups after new track arrives,

Gymnasts should be able to at least round off flick for initial classes. To include boys and girls. Initially Sunday 9.30 to 10.30 and Wed 4.30 to 5.30 or 5 to 6pm. Times to be confirmed via committee and Kate.

Sarah and Tracey asked could all coaches keep a close eye on the register of  gymnasts attending each week as sometimes children have left but have been continually marked as present.

 

Badges

Action, Coaches have liased with Joy the needs of each group. Badges are to be ordered.

 

Power Board

Has been ordered and is soon to be delivered. Susannah has offered herself or her sister who live across the road to be there for the delivery.

 

Track

The purchase of the new track has been agreed.

Kate to organise the sorting of the gym to be able to receive the new track the weekend of the 25th /26th October.

Volunteers for picking up the new track on Wed 29th October sorted, Pete, Daniel, Holly Kath Hannah and Kerrys dad and van, meet 6.30pm at Alfreton Leisure Centre. Those coaching at the gym will be ready to receive it on Wed evening after rec. session, Kate to organise people at that end.

 

Gym Mark

None of the coaches have received any development plans to look through to start making comments/ changes.

 

Health and safety

Each session a coach should check off the piece of equipment. Cannot be checked by unqualified coaches. Boards should be going up around the gym within the next few weeks. If in doubt please ask for instructions as to what should be done to check the equipment.

 

Heating in the Gym

Still a problem, sometimes it is freezing and sometimes it is clear the heating has been on when there is no-one in the gym.

 

Chalon 2009

Time is ticking on for training and decisions regarding the teams for the twinning to France. Kate and the squad coaches have been encouraged to commit to how many gymnasts and which coaches will be going in order that as strong a team as possible can be taken and training time can be ensured. Discussion took place re the trip, what it entails for gymnasts and coaches.

Dates are likely to be April 10th.11th.12th,13th. [ Easter weekend ].

Currently we have more coaches than we have gymnasts wanting to go!!

 

Notice board

Pete has offered to put up a new notice board. Susannah has offered to put up the pictures and scores and generally keep it looking tidy. Please see her if you wish to put anything on there.

 

Sponsored Tumble

Week commencing 22nd November. Please ensure all gymnasts have their sponsor sheets and get them filled in ready for their session that week. Any problems speak to Tracey or Sarah who are in the club most nights the squad are.

 

Boys in house competition

Taking place in December date has to be changed. New date to be agreed asap

 

First aid Course

To be arranged for after Christmas. Please check the noticeboard and put your names down if you wish to attend.

Current classes

There is a shortage of coaches on a Tuesday at Friesland working with Alex at the satellite class.

Action; Bex has “volunteered” when she gets back from her holiday wb Tues 7th October

There were no other concerns expressed about any other classes. Kate and Victoria have all their sessions covered for their holiday in September/ October

 

Committee News

 

Informed the coaches re Holly [ Chair ] and Marie [ Treasurer ] attending a Business Champions event on behalf of the club. Although it sounded like they are doing everything right there may be some offers of support from this event and it get`s our name known.

Marie [ the treasurer ] had reported that on the clubs current accounts. We are making a loss mainly due to coaching payments having begun which were not in line with the predicted amount of gymnasts.

Action : Please could all coaches look at their classes/groups and see where they may be able to get more Gymnasts in then speak to Becky.

 

Coaches were informed about the lottery grant recently awarded to us for £10,000. This is specifically to floor the new premises. Marie has worked hard at applying for lots of grants big and small. She would like the coaches to come up with a wish list of itemised specific equipment including make/ model/ and price in order that she can apply for specific pieces of equipment.

Action Victoria and Susannah will come up with a list

Coaches also requested new proficiency award badges and schemes. Agreed they would write down exactly their requirements and would pass this onto Joy to order as it has to be paid for via a club.

Action Alex, Susannah and Tasha to get together and compile list.

 

The New code is out Victoria has ordered one for our club via Derby city.

Action Victoria to get invoice from Derby City and pass it onto Marie

 

Urgently required is a POWER board. Marie has the exact requirements at present as emailed by Victoria.

Action Kath will appeal to the committee again as it was her fault that the wrong one was bought last time.

 

Track .The committee has voted to buy a second hand track from Alfreton as it is good value at £2000.

Action Georgia and Kerry to enquire re obtaining the use of a van [ they have contacts ].  The track needs to be moved before or around the 29th September.  Georgia to coordinate the transporting of the track and the moving of the old track. All coaches please be prepared to be available to help this will be a very large task.

 

Gym Mark renewal –  we need a new development plan.

Action Head coaches in particular will be sent the current plan to be altered in line with what the plans are for their gymnasts in line with the club development over the next three years. It is hoped that the sections of the plan will be colour coded so as to make it easy to see the sections more relevant to them.

 

Copies of all recent certificates also need to be included in the document so could all coaches particularly those who have recently gained qualifications in the last 18 months

Action,  please ensure Jo Dwyer has copies of your certficates as soon as possible. These include coaching / Child protection/ first aid

 

Child Protection Course there are 30 places at Erewash on 9th November 2008

Am or Pm

Action All coaches please look out for the list and put down either am or pm asap there are 15 places per session available. We are aware that there is a competition going on that day. However it is very important that all coaches and committee attend a course every three years. The first one is likely to start at 9.30am and the second at 2.30pm.

 

First Aid

We need 2 volunteers for the full 4 day course,

Action Kate and Alex volunteered if they have enough notice. Names to be given to Joy to feed back to the committee.

Everyone needs to attend a 2/3hour course every three years, this is still to be arranged

Action Hannah to obtain contact and get possible dates and venues of courses then liase with Joy.

 

Sponsored tumble – date agreed week beginning 17th November. As with last time each group will arrange their tumbles and sign off.

Action Kath to speak to Joy. Sarah and Tracy were “volunteered” to coordinate the sheets being given out to the gymnasts and the collection of the forms and money afterwards. They may be able to help with producing the forms but as they were not present it seemed a little unfair to “volunteer” them for too much.

 

Health and Safety sheets – Kate and others are producing forms to have at each piece of apparatus. As each qualified coach moves around they should check the apparatus and sign the sheet to say it is safe for use before their gymnasts start to use the equipment. Any problems should be reported to the Head coach that session who should then report it to Kate our Health and Safety rep.

  

Christmas Do - Presentation Evening January 10th  2009,   it was hard work last year. [ good fun after the presentation ] If Kath is to coordinate it this year then please could we have the names at least the week before. A new criteria sheet-is to be produced by October.

Action, Kate to email the existing squad criteria sheet to Kath asap in order to share across the club. Tash has offered to help Kath coordinate the lists. We need in asap the group title and requirements ie trophies etc. These need to be ordered in advance and as we have a boys in house competition coming up we may be able to bulk buy. Please remember that we don`t want to be there all night and the club is not made of money particularly at the moment. All coaches to consider ways to get the gymnasts there particularly the winners without giving the winners names away.

Action 2 Georgia is coordinating this event with support from the committee, please help her in any way you can.

 

Boys Comp and display - in house – 13th December- a request for judges and any help either before or during the event. All boys coaches are expected to be there with their groups.

Action Kath to arrange short meetings for coaches then parents and helpers in order to coordinate the event. Judges who “volunteered” so far – Alex, Tracey, Sarah,  Georgia and Terry. Please cross out your name if you are not available or see Kath.

  

Chalon Easter Weekend 2009 – A demonstration of interest to go this year was asked for and anyone who wishes to support the exchange. The gymnasts going should be preferably over 10years as it entails a very busy schedule of late nights and early mornings.  Separate meeting ASAP as Alison wishes to step down from the organisation ie attending the council meetings etc. We think there can be 16 gymnasts from each of the two disciplines, girls and boys although we have not had the formal invite as yet.

Action ; We have a large amount of coaches who have shown an interest thank you. This is fantastic as in the past it has been difficult to draft coaches in to go. Please keep your eyes open for a meeting date. We will try to make it short but coordinate it with Alison our current Twinning rep. We are also planning joint training sessions for the gymnasts and coaches going or supporting the preparation in order to help them get to know each other and work together. These will be occasional Sundays.

All coaches please note, you cannot work above the level of the course you have achieved. Unless you are working directly with the appropriately qualified coach. This needs to be emphasised to all coaches.

 

Kate has offered mentoring again on a Sunday.

 

A further reminder about Jewellery in the Gym, this is for gymnasts and coaches. British Gymnastics Association our insurers do not allow any jewellery to be worn. Please be vigilant and remind each other.
